Creator invoicing in the UK: a practical guide

A practical UK guide to creator invoicing, covering invoice details, software features, setup steps, currency billing and exporting records for Self Assessment.

What to take away

  • For UK creators, creator invoicing software only needs to do a few things well: numbered invoices, GBP and foreign currency, clear line descriptions and VAT fields for when you register.
  • HMRC does not approve or certify invoicing apps, so the compliance work sits with your invoice content and your records, not with a badge on a website.
  • Most tools are similar on billing. The real difference appears when you export figures for Self Assessment or hand a bookkeeper clean data.
  • If you bill brands abroad, check how the tool handles exchange rates and whether it stores the rate you actually used.
  • Named options include FreeAgent, Xero, QuickBooks and FreshBooks. Zoho Invoice is also worth a look.

What a compliant invoice has to contain

The term is shorthand for two things: the invoice carries the details HMRC expects, and your records back it up. A sole trader's record-keeping duty begins as soon as trading starts, as set out in the guidance on becoming a sole trader.

What a compliant invoice must show

  • Trading name and business address
  • Client name and client address
  • Sequential invoice number and issue date
  • Description of what was supplied
  • Total due
  • VAT number, rate and VAT amount

Your trading name, business address, client name and client address must appear. So must a sequential invoice number, issue date, description of what was supplied, and total due. For creator work, two sponsored Instagram Reels with usage rights for 12 months is clearer than services rendered, and it reduces disputes later.

VAT changes the picture. Once registered, a valid VAT invoice must show the VAT number, the rate applied and the VAT amount separately from the net figure. The framework sits in the Value Added Tax Act 1994, and software that merges VAT into one total will cause problems with VAT-registered clients.

Registration becomes compulsory once taxable turnover passes the threshold over a rolling 12-month period. Check the current figure on when to register for VAT and read our walkthrough on whether UK influencers need to register for VAT before you assume you are below it.

Invoicing software options

FreeAgent is free with eligible NatWest, Royal Bank of Scotland or Ulster Bank business accounts. Otherwise it is paid. It handles invoices, VAT and Self Assessment.

Ignore dashboard features you will never open. A clear invoice with the purchase order number shortens payment times more.

Setting it up so year end is easy

Ten minutes of setup now saves a long afternoon in January.

Setting it up

  1. Enter your trading name exactly as contracts use it, plus your client-facing business address.
  2. Set the invoice number format once, choose something like 2026-001, and do not restart the sequence mid-year.
  3. Store your UTR and VAT number in the business profile so they appear automatically when needed.
  4. Add standard payment terms of 14 or 30 days and a late-payment line, because brand agencies rarely pay early.
  5. Send yourself a test invoice in each currency you bill in, then check the PDF and the exported spreadsheet.

Where invoicing ends and tax admin begins

Your invoicing tool starts the record trail, not ends it. The dates, client names and amounts it stores are the same figures that go on your tax return, so the export matters more than the invoice design.

Regular creator income needs reporting through Self Assessment, and our guide on registering self-employed influencer income sets out the deadlines and the steps.

Keep invoices, bank statements and payout reports in one folder per tax year. If an invoice figure does not match your bank, reconcile it while the deal is fresh.

Common questions

Does HMRC approve invoicing software?

No. HMRC approves software for some tax processes, but there is no approved list of invoicing apps. What matters is that your invoices and records contain the right information.

Can I invoice a US brand in dollars?

Yes. Bill in the currency agreed in the contract and note the exchange rate you used. Your accounts and tax return still need sterling figures.

Do I need invoicing software at all?

No. A spreadsheet with a consistent numbering system is acceptable. Software earns its place when you have several clients, retainer deals or a bookkeeper who wants data in a set format.

What if a client asks for a VAT invoice before I am registered?

You cannot issue one. Only a VAT-registered business may charge VAT, so tell the client you are not registered and invoice without it.
