How to set a creator tax brief for supplier quotes

Set a creator tax brief before requesting quotes: define the work and outputs, compare like-for-like terms, verify credentials and test the service.

What to take away

  • A creator tax supplier comparison is a like-for-like pricing and scope exercise, not a beauty parade of quotes.
  • Fix the job description firstplatforms, VAT status, and whether you trade as a sole trader or a limited company.
  • Ask every supplier to price the same bundle, then compare the totals in one table.
  • Check consumer protection guidance before you sign anything sold to you as a consumer.
  • Test one supplier on a single live deal and one HMRC deadline before committing for a year.

Define the job before you ask for quotes

Write a one-page scope note

Start with what you actually sell. A creator earning from TikTok Shop has different bookkeeping needs from one earning from YouTube Super Thanks. List each income stream, the report behind it, and how often you get paid.

One-page scope note

  • List income streams and payment frequency
  • State legal formsole trader or limited
  • Add VAT position
  • Name accounting year end
  • Note software and HMRC login holder

State your legal form. A sole trader filing a Self Assessment return has a lighter job than a limited company with payroll, dividends and confirmation statements.

Add your VAT position. Registration changes the volume of work, so a quote that ignores it is not comparable.

Keep the note to one page. Name your accounting year end, the software you already use, and who holds the login for your HMRC account. Suppliers can only price the job properly when the brief is that clear.

Agree the outputs you want back

Decide what a finished month looks like: a reconciled ledger, a VAT return, a payment on account reminder, or a quarterly profit figure you can use for pricing.

Put a number on each output. If you want three platform statements reconciled monthly, say so. Suppliers price vague briefs defensively, which inflates every quote.

Copy-and-fill scope note: Business structure: [ ]; accounting year end: [ ]; platforms and income streams: [ ]; VAT position: [ ]; software: [ ]; outputs and frequency: [ ]; payroll or other additional work: [ ]; turnaround: [ ]; exclusions: [ ]; fee period and contract term: [ ].

Set a turnaround time as well. A supplier promising a month-end pack within 30 days is selling a different service from one committing to 10 working days, and the fee should show it.

Our creator tax tools and supplier guide for 2027 sets out the wider tool stack this scope note should slot into.

Compare quotes on the same basis

Build a before and after table

The table below is a worked example for a sole trader with two income streams. The figures are illustrative, not market rates.

Price the same bundle everywhere

Send identical scope notes to every supplier on the same day. Ask for a fixed monthly fee, a separate year-end fee, and any software charges.

Ask what is excluded. Payroll, VAT registration, HMRC correspondence and deadline chasing are common exclusions. A cheap headline fee with four exclusions is not cheap.

Ask how long the fee is fixed, too. A quote that rises after six months is a different product from one held for the full term, so write the answer next to the price.

Our vendor due diligence guide is England-specific; use the checks below to verify suppliers serving creators across the UK.

  • HMRC authorisation:Ask whether the supplier uses an HMRC Agent Services Account and how it will obtain your authorisation for relevant Self Assessment or VAT services. Authorisation lets an agent act for you; it is not an HMRC endorsement. Never share your Government Gateway password.
  • Professional membership:If the supplier claims membership or a qualification, check its entry in the relevant member or firm directory: ICAEW, ACCA, AAT, CIOT or ATT.
  • AML supervision:Ask which body supervises its anti-money laundering compliance. If it says HMRC, check HMRC's register of businesses supervised under the Money Laundering Regulations; if it names a professional body, confirm its status with that body.
  • Insurance and complaints:Ask for a current professional indemnity insurance certificate and check the named insured and cover. Ask for the complaints procedure and check for any published disciplinary record with the relevant professional body.
  • Data and company details:Check the ICO register of fee payers where applicable; some organisations are exempt, so absence alone does not prove non-compliance. If the supplier is a company, match its legal name and status against the Companies House register; sole traders are not listed there as companies.

Read the contract and test the service

Check the terms you are agreeing to

If you buy as a consumer, the Consumer Protection from Unfair Trading Regulations 2008 and the Consumer Rights Act 2015 shape what a trader can put in a contract. The CMA consumer enforcement guidance explains how those rules are applied, including misleading pricing and unfair terms.

Confirm who owns your data and what the exit process looks like if you leave.

Ask for the full contract before you pay a deposit. Promises made on a call about deadlines or fee increases are hard to rely on when the written terms say something else.

Run one live test before you commit

Give the shortlisted supplier one real job first. A single month with two platform statements and one payment deadline reveals how they communicate.

If you sell through TikTok Shop, check that the supplier understands TikTok E-Commerce reporting and settlement timings before you hand over access.

If Super Thanks payments form part of your income, check that the supplier can map YouTube Super Thanks payments to the right period.

Common questions

Is a creator tax supplier comparison just about price?

No. Scope, contract term, data handling and exit process decide whether a cheap quote stays cheap once work starts.

How many suppliers should I compare?

Three is usually enough to see the spread. More than five rarely changes the decision.

Can I compare a bookkeeper and an accountant directly?

Only if both price the same scope note. A bookkeeper may exclude filing work, so the totals are not comparable until you align the outputs.

Do I need a qualified adviser for my own return?

Yes. This article is general guidance only. Your VAT status and company structure need a qualified adviser who can see your records.
